Conference Panellist Coordination Consultant

About the role

The United Nations Office at Vienna is seeking a Consultant to manage panellist and speaker coordination for an upcoming conference. The role is home‑based with occasional travel to Beijing, China, and runs from 1 August to 30 September 2026.

Key responsibilities

• Serve as the primary contact for invited panellists and speakers, handling invitations, confirmations, reminders and deadline tracking.
• Maintain and regularly update a comprehensive database with confirmations, biographies, photos and presentation titles.
• Collect, follow up on, and compile speaker materials such as biographies, presentations and required consent forms.
• Draft and send routine communications, support online registration, and keep organized records and shared folders.
• Assist with travel, accommodation and visa arrangements in line with UN procedures.
• Provide on‑site support during the conference, ensuring session readiness and handling post‑event follow‑up.

Required profile

• Advanced university degree (first‑level degree or equivalent) in international relations, event management, communications, public administration, disaster management, space policy or a related field.
• Alternatively, a first‑level degree in a similar field combined with at least two years of relevant experience.
