Office Manager – New Shenzhen R&D Office

About the role
We are looking for an Office Manager to lead the launch and ongoing administration of Epazz's new R&D facility in Shenzhen. You will create a functional workplace that enables engineers and researchers to focus on innovation.
Key responsibilities
- Coordinate the physical office setup – furniture, equipment, signage, utilities and workspace layout – with landlords, contractors and vendors.
- Support company registration, tax filing and enrollment in social insurance and housing fund with local authorities.
- Source, negotiate and manage relationships with internet/telecom, cleaning, security, catering, office‑supply and logistics providers.
- Work with IT to install workstations, network access (including VPN) and telecom systems before staff arrival.
- Establish health & safety procedures, emergency protocols and compliance postings in line with PRC labour law.
- Manage the office opening budget, track setup costs, process quotes and invoices.
- Oversee day‑to‑day office operations, supplies inventory and facilities maintenance.
- Serve as primary contact for building management, vendors and service providers.
- Support onboarding logistics for new hires, including workstation setup, access badges and statutory registrations.
- Handle office calendars, meeting‑room bookings, travel arrangements and visitor coordination.
- Process invoices, expense reports and purchase orders while maintaining compliance with local accounting requirements.
- Plan internal events, team off‑sites and visits from hardware partners and suppliers.
- Liaise between the Shenzhen R&D team and corporate functions (HR, Finance, IT, Legal) at Epazz’s other locations.
Required profile
- Proven experience in office administration and facilities management.
- Familiarity with Chinese business registration, tax and social‑insurance procedures.
- Ability to work cross‑functionally with R&D leadership, local government bureaus and corporate support teams.
- Strong organizational skills and attention to detail.
Required skills
- Vendor negotiation and contract management.
- Budget tracking and invoice processing.
- Basic IT coordination (workstation setup, VPN connectivity).
