About the role
The Department Assistant supports the Head of Department and the wider team in daily administration, operational coordination and financial monitoring. You will act as a central point of contact for meetings, travel, procurement and budget tracking, ensuring smooth department functioning.
Key responsibilities
- Manage the Head of Department’s calendar, travel arrangements, expense reimbursements and document approvals.
- Organise department meetings, workshops, team‑building events and training sessions; maintain Open Issues Lists.
- Oversee office facilities, 5S implementation, stationery, fixed assets and coordinate CIP and associate surveys.
- Handle department ordering for stationery, test services, samples and tooling; produce monthly reports to maintain high GR/IR rates.
- Partner with Controlling (CTG) on budget planning, business planning and current forecasts for cost centres and projects.
- Monitor monthly spending, analyse EBIT status and flag potential budget risks early.
Required profile
- Bachelor’s degree in Business, Finance, English or a related field.
- Proven experience in department administration, assistant or commercial roles, preferably in a multinational environment.
- Fluent English; German is a plus.
Required skills
- Proficiency in MS Office.
- Experience with SAP (highly preferred).
- Basic knowledge of Power BI is advantageous.
