Admin & Facility Manager

About the role

We are looking for an experienced Admin & Facility Manager to lead day‑to‑day facilities and workplace operations across our China offices and Shanghai laboratory. You will ensure a safe, compliant and productive environment for all associates and visitors while supporting flexible working strategies.

Key responsibilities

• Lead facilities and workplace operations, develop SOPs and SLAs, and optimise space utilisation.
• Manage office moves, expansions, consolidations and other workplace change initiatives.
• Partner with EHS leaders to ensure compliance with Cytiva standards and local regulations.
• Act as site security focal point and oversee security services provided by vendors.
• Establish governance, KPIs and performance reviews with integrated facilities management (IFM) vendors, monitor service delivery and resolve escalations.
• Oversee office administration services including reception, employee services, events, visitor management, amenities and policy enforcement.
• Develop and manage facilities and administration budgets, drive cost‑optimization and monitor vendor expenditures.
• Support lease renewals, negotiations and real‑estate portfolio management in collaboration with regional stakeholders.

Required profile

• Bachelor’s degree in Business Administration, Facilities Management, Engineering, Real Estate, Hospitality Management or a related field.
• 8+ years of experience in facilities management, workplace services, office administration or corporate real estate.
• Strong vendor management and contract governance experience.
• Proven budget planning and cost‑control expertise.
• Excellent stakeholder management and influencing abilities.
• Fluent in English and Mandarin.
