Executive Assistant to GM, Supply Chain & Sustainability

About the role

The Executive Assistant provides high‑level support to the General Manager of Supply Chain & Sustainability, acting as a central liaison between the GM, leadership team, internal stakeholders and external partners. The role ensures smooth coordination of schedules, meetings, travel, communications and departmental routines.

Key responsibilities

• Manage the GM’s complex calendar, arrange meetings, prepare agendas and follow up on actions.
• Coordinate travel logistics, accommodation and expense reporting with accuracy and timeliness.
• Support leadership meetings, town halls, workshops and business reviews, handling logistics and material preparation.
• Assist with administrative processes such as purchase requests, invoice tracking, vendor coordination and contract routing.
• Facilitate cross‑functional communication with Finance, HR, Legal, IT and other divisions.
• Organise onboarding, training registration and team engagement activities for the SCS team.
• Maintain confidentiality of sensitive information and handle ad‑hoc assignments proactively.

Required profile

• Bachelor’s degree or higher.
• 5+ years of experience supporting senior executives, preferably in a multinational or matrix environment.
• Excellent coordination, communication and stakeholder‑management abilities.
• Fluent in English and Mandarin; French is a plus.
• Highly organized, detail‑oriented and able to manage multiple priorities in a fast‑paced setting.
• Proactive, discreet and capable of exercising sound judgment.
