Site Head Administrator

About the role

Takeda is seeking a proactive Site Head Administrator to support the General Manager of its Tianjin manufacturing site. This full‑time position combines executive assistance, facilities oversight, and employee‑engagement responsibilities to ensure smooth daily operations.

Key responsibilities

• Manage the General Manager’s calendar, travel arrangements, visa applications, hotel bookings, and local transportation.
• Prepare the annual budget for the GM’s cost centre and monitor monthly expenses.
• Organise strategic meetings, team‑building events, and site‑wide employee activities such as annual parties and company trips.
• Oversee shuttle buses, business cars, cleaning services, greening projects, and canteen operations, continuously improving supplier service quality.
• Administer fixed‑asset inventory, registration, and maintenance for the administrative department.
• Act as the primary contact for business travel, coordinating visa, hotel, ticketing, insurance, and travel‑process support for staff.
• Handle waste management, express deliveries, company taxi service, mobile services, visitor reception, and the management of official seals and licenses.

Required profile

• Bachelor’s degree or higher in English, Human Resources, Administration or a related field.
• Minimum three years of administrative experience, including at least one year of team‑management responsibility.
• Strong cost‑awareness, negotiation ability and analytical problem‑solving skills.
• Excellent English communication skills (listening, speaking, reading, writing) for daily use.

Required skills

• Proficiency with office software (e.g., Microsoft Office suite).
