Facilities Assistant

About the role

We are seeking a proactive and detail‑oriented Facilities Assistant to support the daily operations of our client’s office environment. You will be the first point of contact for facility‑related requests, manage supplies and vendors, and assist with administrative tasks to ensure a safe, comfortable and efficient workplace.

Key responsibilities

• Serve as the primary reception contact, handling visitor registration, badge issuance and directing guests.
• Manage meeting‑room bookings, set‑up rooms, and coordinate AV equipment and catering.
• Monitor and replenish office, pantry and cleaning inventories; process purchase requests and conduct monthly stock‑takes.
• Liaise with service providers (cleaning, security, pest control, plant rental, courier) and conduct regular inspections to ensure SLA compliance.
• Log maintenance requests in the help‑desk system (e.g., ServiceNow, JLL Portal) and follow up for timely resolution.
• Support access‑control administration, fire‑drill coordination and other EHS initiatives.
• Handle incoming/outgoing mail and courier services and perform ad‑hoc administrative duties.

Required profile

• Bachelor’s degree in Administration, Business English, Hospitality Management or a related field (preferred).
• 2–4 years of experience in facility administration, front‑office reception or similar support roles, preferably in a multinational environment.
• Proficient Mandarin with strong written and verbal communication skills.

Required skills

• Experience with ServiceNow or similar help‑desk platforms.
• Familiarity with the JLL Portal or comparable property‑management systems.
